What equipment is tagged and tracked by RSMG? All research capital equipment with a purchase price of $1,500 or greater, fabricated equipment with an acquisition value of $5,000 or greater, and computers acquired with research funds with a purchase price of $5,000 or greater. Back to Top
Why is it important to track equipment? To uphold the hospital’s responsibilities under federal regulations and to aid in facilities management and relocations. Keeping an accurate equipment inventory helps leverage hospital and grant resources by enabling the research community to share, loan, and trade available equipment. Back to Top
What do I need to do if I want to relocate or sell a piece of research equipment? Contact RSMG Asset Analyst, Yoel Jimenez, or your department’s Space Analyst in advance of any changes in equipment status. Back to Top
What should I do when I need to dispose of equipment or trade-in equipment? Please fill out a capital equipment disposition form and send to RSMG prior to disposing of equipment or returning equipment to a vendor. Back to Top
Am I able to take all of my equipment with me if I transfer to another institution? MGH attempts to accommodate a Principal Investigator in the transfer of equipment to a new institution. However, all equipment and materials purchased with funds of any kind awarded to MGH belong to MGH (or in some cases to the awarding agency). Therefore, relinquishing these assets of MGH is considered on an item-by-item basis. The authority for relinquishing assets of MGH lies with the Trustees. Please contact RSMG as soon as you know of your transfer so we can properly document the equipment you would like to take with you. Back to Top
| What is fabricated equipment? Fabricated equipment is property physically constructed by a Partners employee/department, is free- standing, does not lose its identity when affixed to or installed in other property, and has a useful life of at least two years. When fabrication is complete, the acquisition value consists of the direct costs of employee time, services purchased from outside vendors and the costs of the component parts purchased. Parts alone are not considered fabricated equipment. If the total acquisition value is $5,000 or greater, you will need to fill out a capital equipment fabrication form and return to RSMG. | I need a certain piece of equipment, but do not want to buy it if MGH has one available for use. How can I learn of equipment that is available for shared use or that another researcher no longer needs? Email Yoel Jimenez or call 617-643-2197 to learn more about potential equipment available for shared use. Back to Top |
How often do you conduct statistical equipment inventory audits? What information is gathered during an audit? Statistical audits are conducted 6 times during the year. Equipment is randomly selected from the inventory database and the equipment location and status is verified. The results of these audits are critical as they are reviewed annually for compliance by external auditors as required by federal regulations. Items can be subject to multiple audits, so please contact RSMG about all tagged equipment location and status changes so we can continue to update our inventory records. Back to Top
