Transfer Out
We are excited to announce the new Insight functionality that digitizes the paper-based transfer out documentation required when researchers transfer out of MGB. As of March 31, 2023, a new Transfer Out Process is available under the Manage Profiles & Security tab in Insight. This innovative functionality is specifically designed to create a simplified electronic submission and workflow for documentation required when a researcher leaves MGB. The forms process all elements involved when transitioning out –IRB and IACUC protocols, workspaces, equipment, and much more. All forms are consolidated into a single packet, thereby streamlining the process for researchers.
The Transfer Out Process must be completed by all research employees, students, fellows, and PI’s looking to transfer any type of data, grants, protocols, equipment, and other materials outside of MGB. This process can be initiated by the person leaving, or their delegates. Each form within the process is automatically populated with data already present within Insight, including demographics. Once submitted, the forms are routed to the relevant department for review and approval, prompting strategic conversations about the researcher’s exit plan. After the department review is complete, the complete packet is automatically routed to the Chief and SVP for Research for final approval.
A new MGB Transfer Out Guidance Document has been created to assist users with filling out the forms and provides institutional contact information for each section. Instruction on submitting a transfer out request is also available.
We recognize that this project has been a team effort and an example of a system-wide solution that promotes compliance and integrity. We remain committed to the common goal of achieving greater efficiency and reducing administrative burden for the research community.
